Tips and Tricks

Tip 1

Easier Folder Moving
In Mac OS 9 and X, you can change the location of an open folder without having to open the folder’s parent folder. With the folder’s window open, drag the little icon in its title bar to your preferred location. That’s it!

Tip 2

Font Parade in QuarkXPress
This one’s fun: in Quark- XPress, you can view selected text in each of your installed fonts by pressing Option-F9 on your keyboard. Each time you press Option-F9, the text will display using the next font down on your font list. Shift-Option-F9 takes you
up the list.

Tip 3

Copy & Paste Files in Mac OS X
In Mac OS X, you can copy files and folders from one location to another by using
the Copy and Paste commands. Just select a file or folder, press Command-C,
navigate to the location where you want the copy to go, and press Command-V.
Of course, you can also Option-drag the file to its new location, but that requires
having both locations visible at the same time. This technique doesn’t.

Tip 4

OS X Screen Captures in TIFF Format
Mac OS X 10 saves screen captures in PDF format only. But, you may then open your screen captures in Mac OS X’s Preview application, and then resave them in any file format supported by QuickTime, including TIFF. For more control, use Grab, a free
utility in the Applications/ Utilities folder that can capture a selection, a window,
or your full screen, with an optional timer so that it can capture a pulled-down menu, flyout menu, your pointer, etc.

Tip 5

Why Get a Laser Printer?
A good PostScript laser printer costs as little as $299 (for example, the Brother HL-5170DNLT) but a good inkjet printer costs the same or less. So why buy a laser printer? Here are two reasons:

• Prints from a laser printer cost much less than from an inkjet printer— only about 2¢ per page when you add up all the costs, including the printer and its toner. If you print a lot of black-and-white pages, this really adds up.

• If the laser printer includes PostScript (as the one above), your prints will look exactly as they will look when your files are printed on film or plates – even if they contain placed EPS files.

Tip 6

Free Wireless at Apple Stores
Every Apple Store provides an open AirPort network with broadband Internet
access. You can access your email or browse the Web from the comfort of the chairs and couches conveniently placed in many of the stores. Its 24-hour-aday availability is really handy for email and downloads while traveling — sometimes even outside
the store at night.

Tip 7

Browser Tips

In most browsers, you can move backward or forward through previously visited
pages by holding Command and pressing the Left Arrow and Right Arrow on your keyboard. In Safari and Microsoft Internet Explorer, you can also press Command and
click on the text in the title bar of a window to see a hierarchical list of the pages on that website that lead back to its home page.

Tip 8

Extract Images Embedded in Illustrator
Usually, it’s better to “link” a picture to a document than to “embed” it into the
document. Adobe Illustrator provides multiple ways to accidentally embed images,
but no easy way to extract an embedded image. The easiest way to extract
an image is to copy it from Illustrator, then in Photoshop choose File> New. Photoshop will automatically size the new document to fit what’s on the clipboard, and you can then paste the picture. This retains the original image’s size and resolution.

Tip 9

Ways to Embed Fonts in EPS Files
In most cases, when you export or save a document to EPS format, its fonts are
not embedded into the EPS file. So, you must send the fonts along with the
EPS if you want another person to be able to print it. One way to embed fonts
into any EPS file is to either create a PDF document from the original document, or process the EPS through Acrobat Distiller to create a PDF. Then open the PDF in Acrobat (not Acrobat Reader), and choose File> Export or File> Save As… and
choose the Encapsulated PostScript format. Be sure to click the Settings… button
in the Save As dialog, and enable the Font Inclusion checkbox in the General
settings. While you’re there, enable Include Preview and choose TIFF. The resulting EPS file will have its fonts embedded in it.

Tip 10

Better Conversion from QuarkXPress to InDesign
If you have trouble converting a QuarkXPress 4 document into InDesign CS, be sure the Quark- XPress document is as pristine as possible. To do this, make sure that none of its graphics are missing or modified and that all its fonts are active, then create a new QuarkXPress document of the same size and drag the pages from
your old document to the new document. (To do this, change both documents’View
percentage to Thumbnails, select all the pages in the old document and drag them into the new document. Then delete the extra page in the new document.) Then, use
this new document for converting into InDesign.

Even so, some features from QuarkXPress don’t come across. For an explanation
of conversion issues, failure strategies and unsupported features, go to www.adobe.com/search/ and search for Knowledge Documents 321f6 and 20b2a.

Tip 11

Avoid Show-Through in Scans
To avoid having your scanner pick up text from the back side of the paper
you’re scanning (this is called ghosting, or show through), place a sheet of
black paper behind the paper you’re scanning. The black paper absorbs the
light that would otherwise shine through the paper.

Bug Fixes

Fix 1

Apple’s .Mac is Undependable
As much as we admire and appreciate the capabilities of Apple’s .Mac program,
including file storage, email, easy Web pages, etc., we can’t recommend .Mac for safe storage of data, or for reliable email service. In recent months, Apple has disabled Mail service for hours or days at a time. Their 12-hour “maintenance” downtime
on January 23 resulted in empty iDisks for many people. It’s such a shame.

Fix 2

Fix for Safari 10.3.7 Slowdown
Photoshop CS & Norton AntiVirus If you have Norton AntiVirus 9.0 with the November
2004 update installed, Adobe Photoshop CS documents may be damaged. Photoshop displays this message: “Could not complete your request because the file is not
compatible with this version of Photoshop” and the document is permanently
corrupted. To stop further corruption, either run the Norton AntiVirus Live Update to get the latest virus definitions, or disable Norton AntiVirus Auto-Protect. Our recommendation for graphic design professionals is to disable the automatic protection option in any antivirus software you choose to use. Historically, it has conflicted with graphic applications’ ability to manage their files.

Fix 3

QuarkXPress & Illustrator EPSes
The main reasons to save an Illustrator document in EPS format with the “embed
fonts for other applications” option enabled is for cross-platform document editing. However, if you do embed the fonts, then when printing that EPS from QuarkXPress 6.5, XPress may report that fonts are missing even though the document then prints correctly. In addition, XPress’s Collect For Output report doesn’t include fonts in
linked EPS files that have their fonts embedded. (It does report fonts in EPS files that don’t have their fonts embedded.) So, in a prepress workflow, it may be best to not embed fonts in EPS files unless you expect those files to be edited on another platform.
